The data we collect about you

Personal data, or personal information, means any information about an individual from which they can be identified. It does not include data where the identity has been removed (anonymous data).We may collect, use, store and transfer different kinds of personal data about you which we have grouped together as follows:

We do not actively collect any data defined as Special Categories of Personal Data. Equally we do not actively collect any information about your criminal convictions and offences.

If you do not provide personal information

Where we need to collect personal data and you fail to provide that data when requested, we may not be able to provide products or services to you. In this case, we may have to cancel a product or service but we will notify you if this is the case at the time.

How is your personal information collected?

We use different methods to collect information from and about you, including through:

• Direct interactions. You may give us your Identity Data, Contact Data and Financial Data by filling in website forms or by corresponding with us by post, phone, email, on our website or otherwise. This includes personal data you provide when you:

  • HM Revenue & Customs, regulators and other authorities acting as processors or joint controllers based in the United Kingdom who require reporting of processing activities in certain circumstances.

  • Email marketing platforms acting as processors based worldwide who provide email marketing solutions and services.

  • Fraud prevention agencies, law enforcement and credit agencies acting as controllers based in the United Kingdom for the prevention and detection of fraud.

• Third parties to whom we may choose to sell, transfer, or merge parts of our business or our assets, or from whom we may seek to acquire other businesses or merge with them. If a change happens to our business, then the new owners may use your personal data in the same way as set out in this Notice.

We require all third parties to respect the security of your personal data, to process your personal data only for the specified purposes and in accordance with our instructions, and to treat it in accordance with the law.

International transfers

Some of our external third parties are based outside the UK so their processing of your personal data will involve a transfer of data outside the UK.

Whenever we transfer your personal data out of the UK, we ensure a similar degree of protection is afforded to it by ensuring at least one of the following safeguards is implemented:

They will only process your personal data on our instructions and they are subject to a duty of confidentiality.  We also have in place procedures to deal with any suspected data breach and will notify you and any applicable regulator of a breach where legally required.

Data retention

For how long will you use my personal data?

We only retain your personal information for as long as needed to fulfil the purposes for which we collected it, and for the purpose of satisfying any legal, accounting, or reporting requirements.

By law we keep basic information about our customers (including Contact, Identity, Financial, Transaction, Profile and Customer Service Data) for six years after they cease being customers for tax purposes.

In some circumstances we may anonymise your personal data so that it can no longer be associated with you for purposes such as research or analysis. In this instance we may use this information indefinitely without further notice to you.

Your legal rights

If you exercise this right we will keep a note of your name linked to your request and it won’t prevent us from processing any new information you provide to us subsequently. We may not always be able to comply with your deletion request for specific legal reasons. If this occurs, we will notify you.

• Request the transfer of your personal data. You have the right to ask us to electronically move, copy or transfer your personal information in a machine readable format.

• Withdraw consent at any time where we are relying on consent to process your personal data. This will not affect the lawfulness of any processing carried out before you withdraw your consent.
